Associate the inspection with one candidate

Match the vehicle reference, available production information and original version before reviewing condition findings. For a multi-car order, avoid a report that does not identify which photographs belong to which unit. Ask who performed the check and when. The model identification guide helps resolve conflicting descriptions before a dealer bases a decision on information from a different version or vehicle.

Read records alongside the physical evidence

Request the service history that is available, the mileage declaration and relevant repair information. Note gaps and inconsistencies for follow-up. Records provide context but do not replace inspection of the current car. Likewise, tidy photographs do not establish maintenance history. Ask the reviewer to explain which conclusions are supported and which questions require additional records or a more detailed assessment.

Separate body findings from cosmetic preferences

Ask for useful exterior, cabin and accessible luggage-area views, with attention to the concerns identified in the scope. Significant damage or repair questions should be documented separately from minor wear. If an area cannot be examined, retain that limitation. Do not convert a lack of photographs into a clean-condition conclusion or diagnose a structural issue from a single indistinct image.

Connect the test to the powertrain

Agree the operating checks appropriate to the actual engine and transmission, including warning indicators and a suitable road assessment where feasible. Record the circumstances and avoid overstating what a short test establishes. Review powertrain identification if the mechanical description is unclear. Equipment checks should also follow the customer’s required list rather than rely only on the inspector’s standard description of the car.

Make the follow-up actionable

For each unresolved finding, identify the additional evidence or work needed and who will provide it. Record whether a subsequent check is required after preparation. Retain the earlier findings so the buyer can understand what changed instead of receiving a final assurance that omits the original concern.

A practical dealer request

Ask for a findings sheet with the area checked, observation, supporting image and next action. If a function could not be demonstrated, label it accordingly rather than marking it as passed. That distinction allows the dealer to request the missing evidence.

For a batch, keep the same structure for every vehicle and preserve the individual exceptions. The format makes comparison easier, but it should not become a scoring exercise that hides important differences behind one overall condition grade.
